Good record-keeping is less about doing more and more about deciding once. When a document arrives, the team should know what it is, where it goes, and what happens next.
The five-minute reset
Start by collecting the documents that are currently spread across email threads, messaging apps, downloads, and paper folders. You do not need to organize everything perfectly in one sitting. Create a clear holding folder first, then work through it in small batches.
For each document, identify:
- What was purchased or received?
- Which business activity does it relate to?
- Has it been paid, invoiced, or recorded?
- Does another person need to review it?
Make the next action obvious
A document should not sit in a folder with no status. Use a simple label such as to review, ready to record, or complete. This makes handoffs easier and reduces the chance that an important item disappears into an archive.
The goal is a record that tells the story of the business clearly enough for someone else to understand it.
